Instructions and best practices for registering attendees at your in-person event

Webex Events Onsite doesn't have a way to register attendees — only check in existing ones. Fortunately, registering people at your venue is simple when you use Webex Events Registration. This article explains your options for registering walk-in attendees and some best practices on what information to give attendees after they register. 👍

💡 Keep in mind, if you're using a different registration provider, the information in this article is still useful. Keep reading to learn more.

Register walk-up attendees

Simply provide attendees with easy access to your Webex Events Registration URL so they can sign themselves up. There are a couple ways to do this, and you can use one or both.

💡 Keep in mind, it can take a minute or two for new registrations to appear in the Onsite app, depending on internet speed. An iPad must have an internet connection to download attendee data.

Option 1: Create signage with a Registration QR code

The easiest option is to include the Registration URL in QR code form on signage around your event. Be sure to display signage so attendees can find it before they get in the check-in and badge printing line. This will mitigate potential frustration! 😌

Here's how to get a QR code for your registration page:

From any page in your Event Registration, click the Promote link next to the hyperlinked registration page URL. In the modal that appears, click the Copy button.

Now, use a third-party QR code generator such as Bitly to generate a QR code. Once you have the code, you can print it on signage for your event!

Pro tip! 😎 Create a ticket with a checkout form customized for walk-up attendees, then use the direct link to the ticket for your QR code.

Option 2: Provide a registration kiosk laptop or iPad

If you expect a lot of walk-ups, it's a good idea to have a dedicated registration station or two for this. Simply set up a laptop or iPad with your Registration page open in a browser, and attendees can go there and register. If you choose this option, consider these points:

  • Clearly display signage that tells people they can register for the event at the kiosk.

  • Assign a staff member to manage the registration kiosk and make sure attendees refresh the page when they're done. This prevents their ticket and confirmation information from being visible to the next registrant.

  • If you accept cash or check payments, a staff member must mark attendees as paid before the attendee receives their ticket. Learn more in our article about invoice and check payments.

Guide attendees after they register

Whichever option you choose, make sure your attendees know what to do after they register. 🧠

On the first day of your event, add a custom message on the registration confirmation page and/or the order confirmation email with clear, simple next steps for in-person attendees. Add your Event App's Promo Page URL as a Custom CTA so attendees who scanned a QR code or registered at your registration kiosk can download the app and log in.

  1. Click the button below to download the Event App on your mobile device.

  2. Open the app and tap the Renergize Conference event.

  3. Log in using the email you registered with.

  4. Check your email for your confirmation, which includes a PDF ticket.

  5. Open your PDF ticket on your mobile device and show it to a check-in attendant to print your badge.
