Downloading the Mobile App or joining the Web App is easy, but your attendees don't know that yet! We crafted the instruction templates in this article to help you clearly and simply tell attendees how and where to join your event or community.

⭐ Keep in mind, although this article refers to events, the instructions and templates also apply to communities!

Using the templates

There are several sets of instructions here that cover different access methods and privacy settings. Choose the one that matches the privacy setting you selected for your event and how you want attendees to access the app. Read the template carefully before you send it to make sure all the information is accurate. Consider tailoring the text to your event's style, too! 💃

⭐️ Keep in mind, if you're using the Invite Only privacy setting, you can customize the Denial Message that appears when attendees try to log in with an unregistered email address. This is a great place to provide instructions and help attendees understand why they can't access your Event App.

Before you start sending emails, you need to fill in some crucial information to complete the templates. Use the appropriate information to replace the <Event Name>, <Event Code>, <Promo Page>, and <Shareable Link> text where necessary. If you're not sure where to find this information, the section at the end of this article shows you! 🎉 Some of the templates also have ##notes## to help you understand how to edit them. Remove the ##notes## entirely before you send the template.

Pro tip! 😎 Consider adding screenshots of your event's login screens for each step to make it even easier for attendees to follow the instructions.

Web App only templates


Public Web App template

  7. A pop-up will appear asking for an Access Code. Enter <Event Code> and tap Submit.

Gather the information

Before you start gathering information, copy the correct template for your event and paste it into your preferred email client. Once you've done that, you can simply copy and paste the information into the email as you locate it. 👍

Event Name

You probably know this by heart, but let's assume you forgot somehow. To find the event name, simply go to the Edit Event page and click Basics. The event name is the very first text field on this page. Copy the name and paste it into the template.

Event Code (optional)

If you didn't choose the Event Code option for your event, skip this section.

To find the event code, simply go to the Edit Event page, click Basics, then click the Privacy Settings step. Scroll down to the Event Code section, copy the code, and then paste it into the template.

⭐ Keep in mind, if you checked the 'Hide event from search results and require the code to find the event' box, make sure you use the alternate version of step 6 in the Event Code Mobile App template.

Event Promo Page

After you publish your event, you get access to the Promo Page — the best and easiest way for attendees to access your Event App. From the Manage Event page, hover your cursor over the Promote tab and click Launch Event Promo Page. Copy the URL from the browser's address bar and paste it into the template.

The link is long, so consider using a link shortener like bit.ly, or use the link function in your email editor to add hyperlinked 'Click Here' text.

⭐️ Keep in mind, if you want to give attendees the option to join on the Web App from the Promo page, we recommend you add the Web App button to the Promo Page when configuring your Web App settings.

Web App shareable link (optional)

If you want to use a Web App only template, follow these instructions.

From the Manage Event page, click the Web App tab, then click Copy next to the Shareable Link. Now paste the link into the template.
