While the Webex Events Onsite app has robust, built-in Session Check-in functionality that lets you seamlessly track and manage in-person Session attendance, you can also choose to use a third-party platform to check attendees into Sessions at your event.

This article explains how to use OrcaScan to manage Session check-in. Let's go!

About OrcaScan

OrcaScan is a barcode and QR code scanner app for iOS and Android that lets anyone create a barcode system with no coding. Setting up OrcaScan to use Webex Events QR codes is as simple as downloading QR codes from the Webex Events platform and then uploading them to OrcaScan!

Create your OrcaScan account

Visit https://cloud.orcascan.com/ and create a free account, then follow the steps below. 👍

Download QR codes

In your Event navigation bar, click Lead Retrieval. If you haven't purchased Lead Retrieval, don't worry — you can access QR codes without purchasing. 🙌 Simply click Get Started.

💡 Keep in mind, clicking 'Get Started' also adds the My QR Code feature to your Webex Events Mobile App.

Now click QR Codes, then click Download QR Codes.

A notification appears when the download is ready. Click the Click here to download link to download the .xlsx file. If you miss the notification, don't worry. Simply click the notification bell icon to review a list of past notifications.

Open the file in your preferred spreadsheet program and rename the 'QR Code' field as 'Barcode'.

⚠️ Caution! Don't change any of the values in the Barcode column!

If necessary, edit other data in the file. For example, you might delete the photo column if you don't need it. Save the file when you're done making changes.

Upload data to OrcaScan

Now, import your QR codes into OrcaScan. Read OrcaScan's article on importing data if you need guidance. Once the upload is done, you're ready to start scanning!

Use the OrcaScan app to scan attendee QR codes

Open the OrcaScan app on your mobile device and log in with the same account you used to upload the QR code spreadsheet. Tap at the top of the screen to select the correct sheet in the app.

Now you can start scanning attendee badges with QR codes printed on them, or have attendees tap the My QR Code feature in the Webex Events Mobile App and scan barcodes from their device screens.
