Create a Typeform

Create a free Typeform account to start building your first survey or questionnaire, referring to Typeform's documentation when necessary. When you're done creating the form, you're ready to add it to your Event — unless you want to use the Pass Data to URL function of the Webex Events platform. Keep reading to learn how to configure your survey when using the Pass Data to URL function! 📚 Otherwise, skip to the 'Copy the Typeform URL' section.

Pass Data to URL

There are many places in your Event App where you can insert an External Link. Many of these include the Pass Data to URL option, which sends data like first name, last name, and email to the site the link leads to. This can save attendees time when filling out your Typeform!

💡 Keep in mind, when you create your Typeform, always put slides that ask responders to manually enter the information you'll collect with Pass Data to URL at the beginning of the survey. Creating a branching rule to skip these when Pass Data information is present saves responders time!

Here's how to configure your Typeform to gather that data:

Create hidden fields

Hidden fields are how Typeform can accept information passed from other websites. Follow Typeform's instructions on how to create hidden fields, adding one field for each of the fields you want to pass from Webex Events. Webex Events can pass the following fields:

  • first_name

  • last_name

  • email

  • lang (language)

  • user_id

  • external_id (when present)

Create branching calculations

Data passed to Typeform doesn't fill fields in your form, so you'll want to add rules that hide the questions related the passed data. For the easiest setup, use Typeform's 'Contact Info' slide if you're only collecting first name, last name, and email information, so you only have to skip one slide.

  1. While editing your Typeform, click the Logic tab on the right side of the screen. The view changes to show each question in your form as cards connected by lines.

  2. Click on the 'Hidden fields' card at the far left.

  3. In the left menu bar, click Add rule.

  4. Select the first hidden field from the second drop-down, such as first name.

  5. Set the drop-down below the Hidden Field to "Is not equal to" and leave the text field next to it blank.

  6. If you've added more than one hidden field, click +Add condition under the one you just added and repeat steps 4 and 5.

  7. When you've added all of the hidden fields, set the 'Then' condition to Go to and select the slide after the one(s) where attendees would otherwise enter the data for the hidden fields you selected.

  8. Click the In ALL other cases drop-down and select the first slide in your form.

  9. Click Save.

This is what the rules look like when Typeform is set up according to the instructions above.

Now, when a responder visits your survey from your Webex Event, they won't have to manually enter some of their information!

💡 Keep in mind, data pulled into Typeform using Pass Data to URL doesn't appear in the survey slides in the Responses tab. Instead, this data appears after the data for all other slides.

Copy the Typeform URL

Now it's time to embed the Typeform in your Webex Event.

  1. While editing your Typeform, click the Share tab.

  2. On the Share page, click the Copy link button. If you used Typeform's Hidden Fields to capture attendee data passed with the URL, copy only the section before the first hash (#).

Add the Typeform to your Event App

After you've copied the Typeform link, add the link to sponsor, exhibitor, or speaker profiles, include it as part of a live streaming Session or Live Stream feature, or make the survey a standalone feature using the Web Link feature, to name a few. Let's explore these last two examples!

💡 Keep in mind, if you want to capture attendee data with Typeform responses as described earlier, check the 'Pass Data to URL' box wherever you paste in the survey link.

Add the survey to a live stream

Gathering feedback immediately after or during a session while people's memories are fresh is an incredible way to gain immediate ROI.

  1. When you create a Session or Live Stream feature, expand the Attendee Engagement section and activate the 'Enable Custom Tab' toggle.

  2. Paste the Typeform link into the Website URL field.

  3. Enter a Tab Name that helps attendees know what to expect when they click on the tab.

  4. Click Save Changes, and you're done!

When attendees watch the live stream in the Web App, the custom tab appears on the right side of the screen. On the Mobile App, the custom tab appears as a button at the bottom of the screen when viewing the live stream.

Add the survey with a Web Link feature

If you want the survey to have its own page in your Event App, set up a Web Link feature.

  1. Add the feature to your Event App and then edit it.

  2. In the Edit modal, paste in the survey URL.

  3. Uncheck the 'Open link in external browser' box.

  4. Click Save Changes. It's that easy!

Attendees simply select the survey feature to start answering questions. 🧠

Pro tips! 😎

  • Don't forget to test your survey from the app! Have someone outside the project take your survey. Review your survey reports. Read your survey out loud. A little time spent here can save you from a headache later.

  • Use an announcement to attract attention to your survey. Link directly to your survey from the announcement to make it easy for your attendees to complete it. If you don't use an announcement, have a speaker mention it.

  • To encourage a higher rate of completion, keep your survey brief. Ask only as many survey questions as you need to achieve your goals.

  • If you're using a Web List or Web Link feature for surveys, move the feature to a more prominent spot in your Event App on the last day of your event.

  • Will attendees earn Continuing Education Credits by answering surveys at your event? Instead of using paper, consider moving that to Typeform!
